Understanding Time Off Requests in Atto

Atto’s Time Off Requests feature helps employees request leave while giving admins and managers full control over approvals, tracking, and scheduling adjustments. This ensures smooth team coordination and accurate records of time off.

How Time Off Requests Work

  1. Employee submits a request → They select leave type, pick the dates, and enter the hours per day.
  2. Admins/Managers review & approve/reject → Pending requests appear in the Team tab.
  3. Approved time off is logged → It is automatically added to Reports > Time Off and is reflected in scheduling.
  4. Employees receive notifications → They’re notified when requests are Approved, Rejected, or Expired.

Submitting a Time Off Request (Employees)

Employees can request time off directly from Atto:

1. Submit a Time Off Request

  • Tap the + icon at the top right corner of the Dashboard.
  • Alternatively, you can start a request from:
    - Reports → Tap the + icon > Add Time Off
    - Dashboard > Time Off → Tap the + icon > Add Time Off

2. Enter Request Details

  • Add Date → Tap all the specific dates for which you need time off.

  • Add Time Off Code → Pick from the available options (e.g., Vacation, Sick Leave). These are set by your admin.

  • Set Hours Per Day → Enter the number of hours per day.

3. Add a Note (Optional)

  • Provide additional details if necessary.

4. Submit the Request

  • Tap Send Request to send it for approval.
  • You’ll receive a notification when your request is Approved, Rejected, or Expired.

Where to Find Your Time Off Requests

Once submitted, you can track your request in the Time Off Requests tab:

  • Upcoming Requests → Lists all requests where the first day of leave is still in the future, regardless of whether they are Pending, Approved, or Rejected.
  • Past Requests → Includes any request where at least one of the requested days has already passed, including Approved, Rejected, and Expired requests.

Understanding Request Statuses

Pending→ Waiting for review and approval.

Approved → Confirmed and added to your timesheet.

Rejected → Not approved, archived, and you’ll be notified.

⚠️ Expired → If not reviewed before the first requested date arrives, the request automatically expires and won’t be added to your timesheet.

Approving & Tracking Time Off (Admins & Managers)

Admins and managers can review, approve, or reject time off requests to keep scheduling and payroll accurate.

Reviewing and Managing Requests

  1. Go to Dashboard > Time Off > Team to view pending submissions.

  2. Open a request and review the details.

  3. Approve or Reject the request:

    Approved → The time off is added to the employee’s timesheet.

    Rejected → The request is archived, and the employee is notified.

Handling Scheduling Conflicts
Atto ensures time off doesn’t disrupt your team’s schedule:

  • Conflicting Shifts → If an employee is scheduled to work during their requested time off, the system will alert the admin, and the shift must be manually removed before approval.

  • Other Time Off Requests → If an overlapping request has already been approved, you’ll be notified before approving another one.

Tracking & Reporting on Time Off

Admins and managers can track approved time off in multiple places:

  • Reports > Time Off → Provides a log of all employee leave for payroll and compliance.

  • Time Off Requests Tab → Filter by Member, Status, or Dates to find specific requests.

  • Payroll Reports → Helps ensure that paid and unpaid leave is correctly accounted for.

  • Canceling an Approved Request → If an admin cancels an approved request, the time off is removed from the employee’s timesheet, and they will be notified.
