Managing Time Off Requests (For Admins & Managers)

With Atto, admins and managers can easily review, approve, or reject time off requests—keeping team availability organized and schedules accurate.


How to Manage Time Off Requests

1. Open the Time Off Requests Page

  • Go to Dashboard > Time Off > Team

  • Use filters to sort by Member, Status, or Date Range

2. Review Pending Requests

  • Tap a request to view details:

    • Requested dates

    • Time off code (e.g., Vacation, Sick Leave)

    • Hours per day

    • Notes added by the employee

3. Approve or Reject the Request

  • ✔ Approve → Time off is added to the employee’s timesheet and reflected in reports.

  • ❌ Reject → The request is archived. Optionally, add a note explaining the reason.

| Employees receive a notification when their request is approved or rejected.


Tracking Past & Upcoming Requests

Use filters and tabs to monitor all time off activity:

  • Status Filters → View requests by status: Pending, Approved, Rejected, Expired

  • Date Range → Filter by specific time periods

  • Member Filter → Review requests for individual employees

| Rejected and expired requests are retained for reference but do not affect timesheets or schedules.


Handling Scheduling Conflicts

Before approving any request:

  • Atto automatically checks for conflicts with scheduled shifts or other approved time off.

  • If a conflict exists, a warning will appear.

  • Conflicting shifts or time off must be removed before you can approve the request.

| If the request is rejected, the original shift remains unchanged.


Adding Time Off for an Employee

Admins can add time off directly when needed—no employee request required.

To Add Time Off:

  1. Go to Dashboard > Time Off > ➕

  2. Select the team member

  3. Choose a Time Off Code

  4. Add dates, hours per day, and an optional note

  5. Tap Submit

| Admin-added time off is approved immediately

| Admins cannot edit an approved request—cancel and re-add if changes are needed


Key Reminders

  • Admins can manage all time off requests.

  • Managers may have limited permissions, depending on account settings.

  • Employees cannot modify approved requests—they must contact an admin for changes.

  • All approved time off appears in Reports > Time Off and in employee timesheets.
