How Time Off Requests Integrate with Scheduling

Updated this week

Atto’s Time Off Requests and Scheduling features work hand in hand to ensure that employee availability is accurate and conflicts are avoided when managing shifts.

Managing Conflicting Shifts

If an employee is scheduled to work during their requested time off:

  • The system flags the conflict and blocks approval until it’s resolved.

  • Admins must manually remove or adjust the conflicting shift.

  • Once the conflict is cleared, the request can be approved, and the time off will be logged in the employee’s Timesheets and Reports.

Note: Atto does not automatically remove or modify conflicting shifts.

Preventing Scheduling Conflicts

If an admin tries to assign a shift during approved time off:

  • A Conflict Alert will appear.

  • The shift cannot be saved unless the conflict is manually resolved (by adjusting the shift’s date, time, or assigned employee).

This ensures that schedules align with each team member’s approved leave.

Tracking Approved Time Off

Approved time off appears in the following locations:

  • Reports > Time Off – A complete log of all approved paid and unpaid leave.

  • Timesheets – Approved entries are automatically shown based on the time off type and hours requested.

Admins and managers can use the Time Off Requests page to check availability before assigning shifts. Filters available:

  • Member – View time off for specific employees.

  • Status – Filter by Pending, Approved, Rejected, or Expired.

  • Date Range – Review time off for specific periods.

Making Adjustments to the Schedule

If a shift overlaps with a time off request:

  1. Go to the Scheduling tab.

  2. Find and review the conflicting shift.

  3. Either reassign it to another team member or adjust the date/time.

  4. Once resolved, return to the request and approve it.

Checking Availability Before Scheduling

Before assigning shifts:

  • Use Dashboard > Time Off to review employee availability.

  • Apply filters to plan schedules around upcoming time off.

This ensures smoother scheduling and prevents avoidable conflicts.
