Time Off Requests: Quick Start Guide

Atto’s Time Off Requests feature makes it easy for employees to request time off and for managers to review and approve it. This guide covers how to submit, track, and manage time off across your team.


Submitting a Time Off Request (Employees)

To submit a request:

  1. Tap the ➕ icon at the top right of the Dashboard

    Or go to:

    • Reports → ➕ icon → Add Time Off

    • Dashboard > Time Off → ➕ icon → Add Time Off

  2. Select Time Off Details

    • Date → Tap all the dates you need off

    • Time Off Code → Choose from available options (e.g., Vacation, Sick Leave)

    • Hours per Day → Enter how many hours you’re requesting per day

  3. Add a Note (optional) → Include details if needed

  4. Send Request → Tap Send Request to submit

You’ll be notified when your request is approved, rejected, or expired.


Tracking Your Requests

View submitted requests in Dashboard > Time Off > My Requests

  • Upcoming → Shows requests where none of the requested days have started yet, including Pending, Approved, or Rejected ones.

  • Past → Shows requests where any of the requested days have already passed, including Approved, Rejected, or Expired ones.


Understanding Request Statuses

  • ⏳ Pending → The request is waiting for review. Managers or admins have not taken action yet.

  • ✔ Approved → The request was accepted and the time off is now visible on your timesheet and included in reports.

  • ❌ Rejected → The request was denied by a manager or admin. It will be archived, and you’ll receive a notification.

  • ⚠️ Expired → If a request isn’t reviewed before the first day of leave starts, it automatically expires. Expired requests are not added to timesheets.


Managing Time Off (Admins & Managers)

Go to Dashboard > Time Off > Team to view and manage all requests.

To Approve or Reject a Request:

  1. Tap on a request

  2. Review the request details

  3. Tap Approve or Reject

  • Approved → The time off is added to the employee’s timesheet and shown in reports

  • Rejected → The request is archived and the employee is notified

Conflict Checks Before Approval:

Atto automatically checks for:

  • Scheduled shifts that overlap with the requested time

  • Other approved time off for the same employee

You must resolve conflicts before a request can be approved.


Additional Admin Controls

  • Filter Requests → Use filters by Member, Status, or Date to narrow down results

  • Admin-Added Time Off → When added manually by an admin, time off is automatically approved and added to the timesheet. No request is required from the employee

  • Cancel Approved Requests → Admins can cancel previously approved time off; the entry will be removed from reports and timesheets


Time Off in Reports

Approved time off appears in:

  • Reports > Time Off

  • Timesheet Reports – categorized as Paid Time Off or Unpaid Time Off

Paid time off is included in estimated pay, based on the team member’s default pay rate.
