Managing Time Off Requests (For Admins & Managers)

Have more questions? Submit a request

Keeping track of your team's time off is effortless with Atto. As an admin or manager, you can view, approve, or reject time off requests, ensuring smooth team operations and schedule management.

How to Manage Time Off Requests

1. Open the Time Off Requests Page

  • Go to Dashboard > Time Off > Team to view all pending requests.
  • Use filters to sort requests by Members, Status, Dates.

2. Review Pending Requests

  • Tap a request to see the details, including dates, time off type, and employee notes.

3. Approve or Reject the Request

  • Approve โ€“ Once approved, the time off is added to the employeeโ€™s timesheet and reflected in reports.
  • Reject โ€“ If the request cannot be accommodated, reject it and optionally add a note explaining why.

๐Ÿ“Œ Employees receive a notification when their request is approved or rejected.

Tracking Past & Upcoming Requests

You can track and organize time off requests using the available filters:

  • Use filters to view requests by Status (Pending, Approved, Rejected, or Expired).

  • Search requests by date range or employee name for quick access.

  • Keep track of team availability by checking the approved time off list.

๐Ÿ“Œ Rejected requests remain in the system for record-keeping but do not affect schedules.

Handling Scheduling Conflicts

Before approving a request, all conflicting shifts or existing time off must be resolved.

  • If an employee requests time off that overlaps with a scheduled shift or existing approved time off, a conflict warning will appear.

  • Admins must remove conflicting shifts or time off entries before approving the request.

  • If a request is rejected, the shift remains unchanged in the schedule.

Adding Time Off for Employees

Admins can manage time off requests for employees when needed, such as adding new requests or making adjustments when necessary.

How to Add Time Off for an Employee:

  1. Go to Dashboard > Time Off โ†’ Tap the + icon > Add Time Off.

  2. Enter the details (select member, time off type, dates, hours, optional note).

  3. Tap Submit to finalize the request.

๐Ÿ“Œ Admin-added time off is automatically approved and does not require further review.

๐Ÿ“Œ Admins cannot edit an approved request. If changes are needed, they must cancel the existing request and submit a new one.

Things to Keep in Mind

  • Admins can manage all requests, while managers may have limited approval permissions depending on settings.

  • Employees cannot edit an approved requestโ€”they must contact an admin for adjustments.

  • Approved time off is automatically reflected in reports & schedules.

  • Rejected requests remain in the system for record-keeping but do not affect schedules.
