Create and Review an Invoice

Create an invoice for a saved Customer or add someone new without leaving the workflow. Before finishing, review the billing details to make sure everything is accurate.

Start a new invoice

  1. Open Invoicing from your Dashboard.

  2. Tap +.

Select who you’re billing

On the New Invoice screen, choose one of the following:

  • Use Search to find and select a saved Customer.

  • Select a Customer under Recently Billed.

  • Select Create New Customer to add someone new, then continue creating their invoice after saving their details.

Selecting an existing Customer opens the invoice form with that Customer already added.


Complete the invoice

After selecting a Customer, complete the following details:

  1. Review the Invoice Number assigned by Atto.

  2. Select the Issue Date.

  3. Select the Due Date or payment term.

  4. Under Line Items, select Add an Item.

Invoice numbers are assigned automatically and can’t be edited. Admins can customize them under Settings > Invoicing > Invoice Numbering.

Add line items

Each line item describes what you’re charging the Customer for.

  1. Enter an Item description.

  2. Add the amount, quantity, rate, or discount required by the selected layout.

  3. Select Add Item.

  4. Repeat these steps for each additional item on the invoice.

To change how values are entered, select the settings icon on the Line Item Details screen. Choose one of the following layouts:

  • Amount only — enter one total amount for the line item.

  • Amount and Discount — enter the total amount and, if needed, a discount for that item.

  • Quantity and Rate — enter the quantity and price per item; Atto calculates the total.

  • Quantity, Rate and Discount — enter the quantity, rate, and an optional discount.

Turn on Use this layout for all new invoices if you want Atto to use the selected layout as your default, then select Apply.

Add notes or a PO number

These details are optional:

  • Under Notes, select Add Notes, enter the information you want to include, then select Add Note.

  • Under PO Number (optional), select Set PO number…, enter the Customer’s purchase order number, then select Add PO Number.

A PO number helps the Customer match your invoice with their internal purchase order.

Review the invoice information

Check:

  • Invoice Number

  • Issue Date

  • Due Date

  • Customer information

  • Line-item descriptions and values

  • Notes and PO number, when added

Review the line items and totals

Make sure every line item has the correct description and amount. Where applicable, also check the quantity and rate.

Under Invoice Summary, review:

  • Subtotal

  • Discount

  • Tax Rate

  • Total Due

The Subtotal is the combined value of the line items before invoice-level discounts and tax. Use the + beside Discount or Tax Rate to add or adjust either value.

When everything is correct, choose one of the following:

  • Select Create Invoice to create the invoice.

  • Select Save as Draft to keep it unfinished and return to it later.
